Handbook for TXGenWeb

Position: State Coordinator (SC)


The State Coordinator is the only elected position for TXGenWeb and the term is two years starting on the the first day of November in even numbered years. He must be a County Coordinator in good standing with TXGenWeb for at least one year before nomination.

The State Coordinator has many resposibilities and can manage them alone or can appoint assistants to manage them. It's previous leadership's opinion that TXGenWeb has too many counties to manage alone.

  1. Manage Volunteers
    - Keep a current list of volunteers, where they serve and in what capacity.
    - Keep a historic list of volunteers, where they served and in what capacity with dates.
    - Check that each County Coordinator is responsive to the email address listed on the website (roll call).
    - Recruit and terminate volunteers as necessary.
  2. Appoint Your Staff
    - If the election has proceeded as planned, you'll have plenty of time to recruit your team.
    - You are not required to have a team of people to help but, with 254 counties, it's almost necessary.
    - You can ask previous staff members if they would like to continue but they should be retained for the two years of your term.
  3. Report to USGenWeb
    - A current and accurate list of County Coordinators for voting purposes.
    - Grievance issues that cannot be settled by TXGenWeb Grievance Procedures.
  4. Manage State Website
    - Acquire space for a website.
    - There is a financial obligation implied.
    - Keep both websites backed up.
    - The state site is required to include links to each county site, to USGenWeb and to WorldGenWeb.
    - Keep website up-to-date with county locations and names of County Coordinators.
  5. Oversee County Websites
    - Check that each website follows minimum guidelines to be representative of USGenWeb and TXGenWeb.
    - Find new county sites to join TXGenWeb when possible.
    - Create and maintain minimal county sites for counties with no coordinator.
  6. Subscribe to the USGenWeb State Coordinators Mail List
    - Check for messages frequently.
    - Forward any important notices to the official TXGenWeb mail list.
  7. Oversee Social Media Associated with TXGenWeb
    - Check the Facebook page periodically.
    - Post interesting genealogical or historical information, preferably weekly.
  8. Manage the Awards Programs
    - County of the Month
    - County of the Year
    - Hall of Fame County of the Year [discontinued]
    - Dedicated County Coordinator
    - Service Awards
  9. Maintain A History of TXGenWeb
    - Add important changes to the historical pages.
  10. Maintain Help Pages for Volunteers
    - TXGenWeb has a wide range of pages for helping new and experienced volunteers.
    - Pages for recruitment need to be kept simple but informative.
