Handbook for TXGenWeb
Position: Assistant Coordinator (ASC)
The Assistant State Coordinator must be a County Coordinator in good standing with TXGenWeb for at least one year before appointment. The ASC position is a fail-safe in the event that the State Coordinator cannot fulfill his duties. If the SC appoints more than one ASC, he/she should designate one to be the "main" backup for the following duties. Some staff members are not ASCs; they're wonderful volunteers doing part of the SC's job.- In even-numbered years on September 1, the ASC will prepare for an election.
- If the State Coordinator is removed from his position or can no longer fulfill his duties, the ASC will step up and
fill in.
a. The ASC will immediately call for an election to fill the vacant position.
b. The ASC can be nominated for the position.
In a nutshell, the other duties of the ASC are defined by the SC. In Texas, we have a LOT of extra duties so we traditionally have 2 or 3 ASC's to help out. (Our surfing/awards program is extensive, numerous orphan counties have to managed and doing roll call for 90+ volunteers is a big job.)
When an ASC has to take over the reins of TXGenWeb, his/her duties immediately change to those of the State Coordinator until a new SC has been elected.
Elections
There is no standard set by USGenWeb for elections except that they have to take place; it's up to each state to decide on their own rules. In the beginning, each TXGenWeb SC appointed his/her successor but we've become a democratic organization.An election can be as simple as asking for votes to be emailed to the SC/ASC in charge.
For TXGenWeb, the votes must be sent to a committee of at least three persons, preferably not including the present SC.
The election process should begin in September so that a new SC will have time to arrange his/her staff between being announced and actually starting his/her service on November 1.
