Volunteer Role
Helping Resolve Disagreements Fairly
The Grievance Chair helps TXGenWeb address formal disagreements between volunteers by guiding the grievance process and ensuring that all sides have an opportunity to be heard.
What Does the Grievance Chair Do?
The Grievance Chair manages grievances that require formal review. A grievance may involve the dismissal of a County Coordinator or another situation in which mediation and an impartial decision are needed.
The Chair's role is to organize the review process, keep it moving in a timely manner, and help ensure that the matter is considered fairly.
Form the Committee
The Chair selects two additional committee members according to the TXGenWeb Grievance Procedure.
- Committee members should not currently hold a TXGenWeb leadership position.
- Neither party named in the grievance may serve on the committee.
- Four additional people requested by the parties to the grievance complete the team when it is time for a decision.
Hear Both Sides
The complainant submits the grievance to the Chair, who provides copies to the committee members and requests a response from the opposing party or parties.
Both sides may provide additional information or arguments when necessary so the committee can consider the matter as fully and fairly as possible.
Reach a Decision
The committee discusses the grievance and considers the information provided by both sides.
Six members of the team vote on the outcome. The Grievance Chair votes only if needed to break a tie.
Fairness and impartiality are central to this role. The Chair's responsibility is to guide the established process rather than advocate for either party.
Report the Outcome
Once a decision has been reached, the parties involved in the grievance should be notified promptly.
